First case

For a year of active development and implementation of various integrations, we managed to create everything in one place".

There are two widgets in the CRM that are used by multiple departments:

For example, sales and admins work in the Global widget. We built and configured the system in such a way that they, being on the same form, perform all tasks at once:

creating a deal account for a client (automation creates a deal in the deal module)
if necessary, create a client (automation creates in the customer module)
automated selection of necessary goods for the client based on the main criteria (CRM has three warehouses, two linked sites, and an eBay warehouse).
we considered the possibility of changing the configuration of the goods is taken into account (this is done by a separate department, but the mark and calculation are in the process of creating a transaction)
the way and method of delivery are calculated automatically (this became possible due to integration with delivery services)

Results

For them, we have created a widget in the CRM, that allows you to use the phone, and not run all the time on the computer. Here is one of the cases.

An order has arrived at the warehouse, and the worker sees it through the phone. (Widget interface adjusted for display on devices
Scan a barcode with a phone camera or a connected scanner (the system determines whether the employee correctly took the goods or issues an error).
If the system recognizes this product as correct, the option to pack becomes available to the worker.
He can print a declaration that has already been created (by the seller during the order creation process)

Executive Summary

Our client’s company has moved on to Zoho One, utilizing Zoho Books, Zoho Inventory, Zoho Analytics, and Zoho Creator. They have 23 users in total.

Introduction

Our client’s company was an early adopter of Zoho and had migrated to Zoho two years prior to choosing CRMOZ. Although they had managed to maintain data in Zoho and build useful customizations, they had been unable to make the Zoho Books functionality work properly. Consequently, the employees had problems using it, and the system required urgent assistance.

The Challenge

Our client’s company was interested in creating an environment of constant growth by knowing the margin value for each item and each sales order. They were also experiencing problems with applying VAT (value added tax) to the calculation. This also made the calculation of the margin values inaccurate.

In order to keep track of and see businesses growth by customers, salespersons, and items, it was necessary to create reports in the Analytics dashboard to keep the information about them as concise as possible.

The dispatch department of the business was having issues understanding which orders they had to reorder since part of them were missing.

In order to keep things simple and automatic for package delivery, instead of using manual signing of packages, there was an idea to create the Creator app with a signature component that will let their drivers track and sign the packages needed for delivery every day.

Implementation & results

Our client’s company chose the milestone approach. That way, improvements could be tracked easily and planned out over a long period of time.
In order to make the margin calculation possible, it was important to have each parameter of the calculation in check following the specified formulas, as well as maintain clearance of what part of the system is used in order to calculate the margin correctly for each sales order and each item in the sales order.
Making the correct calculation was possible only through the creation of an additional module of beta functionality, yet it provided the needed solution that was previously impossible without the help of CRMOZ.
This gave an understanding that the VAT should be applied for proper calculation as well, which only worked for the UK version of the Books.
The business reporting needed advanced SQL skills, which CRMOZ could supply. After ensuring that the margin calculation worked as intended, a dashboard with reports was created to show the business's growth on a daily basis.
Additionally was built a report that required fast solution for the dispatch department that would run every morning to see which items need reordering. These are items that they sell often, from accessories through phones to favorite MacBooks.
To make the delivery of packages for businesses drivers more convenient, it was necessary to know what data could be retrieved from packages through an API call in Books. This, along with the development of a scheme to ensure a clear understanding of implementation, resulted in a Creator app that is simple to use for drivers on a daily basis.

Woocommerce integration with Zoho Inventory

Introduction

The main source of Customer’s Orders is Wordpress website that uses WooCommerce plugin to manage incoming requests. Customer’s staff uses WooCommerce and Zoho Inventory for managing shipment of orders and warehouse balances. Client request was to sync all orders from WooCommerce to Zoho Inventory.

Challenge

Zoho inventory does not have a standard connection with WooCommerce. Also WooCommerce does not provide standard update hooks

Implementation

To develop a solution for this task we prepared a standalone server with code for passing orders from WooCommerce. As a trigger for data passing was used a system scheduler that checked updates in WooCommerce. To pass updates from Zoho Inventory developers created several webhooks. After deploying, E2E testing was conducted with support from clients staff.

Results

Developing this automation reduced the amount of staff mistakes and increased the number of simultaneous orders that can be tracked by sales managers.

Change of the Primary Warehouse

Introduction

Client was using a single warehouse as primary and several warehouses in different cities as complementary to the main warehouse. Due to business limitations Client decided to change the main warehouse to one of complementaries. This change was a critical issue that influenced work of the whole company and demanded the highest attention.

Challenge

Almost all open orders were connected to one warehouse and over financial documents needed to be correctly changed to another warehouse. Stock handling was also connected to the main warehouse and all shipments had to be transferred without losses for customers.

Implementation

To complete this transfer were developed a multilayer plan that was simultaneously operated by our developers and Client’s staff. Whole transfer took 12 hours and was divided into equal parts to not exceed API limits and server load abilities. After completing the transfer our team conducted a list of tests to ensure that all parts of the system work as expected. During the whole process of transfer we constantly communicated with Client and client’s team to be able to solve any unpredicted issues.

Results

After completing the transfer none of the Client’s orders were lost. The list of tests conducted after the transfer highlighted that all system’s part’s are connected and work correctly. Client had full control and understanding during the process of transfer, that led to minimal delays in order shipment.

Introduction

One of the main Client’s business processes are connected to shipment of products. To measure effectiveness of personnel and track delays in shipment, Client needed additional source of data for making decisions. To improve shipment management our team decided to develop several reports that would support the Client's management process and would make shipment operations more transparent.

Challenge

Client used several different systems for reporting and separate data sources for each report.

Implementation

To develop a full-fledged shipment tracking system our team proposed several reports that covered all stages of order shipment. In collaboration with the client's team we developed key metrics for each stage to cover all situations that could happen during the process of shipment. After implementation we conducted a Client interview to ensure that all reports describe information that Client needs and provide complete access to data.

Results

Currently the client's team uses developed reports as the primary data sources for making decisions. Reports are updated through time of business development and depict the real situation of business operations.

Zoho implementation for Electronics Manufacturing Company

We have received a list of tasks and ideas from the client that need to be implemented. The main tasks are to configure Zoho CRM, create custom modules, and add fields. Configure communication between modules, and create automatization. Data from tables and synchronization of client forms from the site were also migrated.

The Challenge

Our team made the list of tasks. We started our work with the client with the discovery phase, during this phase we offered various options for the implementation of tasks from the client. Also, to better understand each other we have created a business scheme in the format of BPMN. In the process of familiarization with the client’s tasks, we held several online meetings. When all the processes became clear to us, we moved to the evaluation of tasks.

The first step we did was to configure custom modules and change the modules that are created by default. We have also configured communication between the different modules.

After all the necessary modules and fields were created, our team created an extension for WordPress, so that it would be possible to synchronize data from forms in CRM. Mapping was also configured for each form, as data from one form could fit into two different modules.

After configuring synchronization with the forms, we have imported all data about clients, deals, vendors, price books, leads, companies, contacts, and other information from the tables into the Zoho CRM system.

The next step was to configure various automation. For example, the sales department received various notifications and automatically created tasks for managers and other employees of the company. Also, created an automation that is based on a blueprint.

Also, our team has created various widgets for the client. For example, different types of calendars were synchronized with Zoho Calendar and displayed on the Zoho CRM homepage.

Implementation

From the very beginning, there was a decision to use Zoho Creator and its add-on Customers Portal.

The Customer Portal enables the application to be configured for multiple users. There is a possibility of building it with different levels of permissions and data access. From the user's point of view, it looks like a personal cabinet. Customer Portal might have a custom domain name, which was important for our client. There was also a requirement to set up different email notifications for the customers. So Zoho Creators' email client was also very suitable for such purposes.

Besides, SAML technology is available for the Zoho Creator Ultimate Tariff plan. On the other hand, Zoho Creator is good for different external service integrations. Some of the specific calculations were handled using the server's Zoho Creator connection. Such an opportunity makes the usage of Zoho Creator more flexible in this project.

Results

The team of our analysts created various widgets, and dashboards, with the help of which automatically the client can see their income and expenses. In addition, our analysts have created a sales funnel that helps see how many deals become leads.

In conclusion, the client got a system that receives orders, automatically creates jobs, sends notifications, shows different types of analytics, and allows faster operation.

The client is engaged in 3D graphics in three commercial areas: architecture, gaming, and film production. It has many employees around the world and is expanding rapidly. At the start of our cooperation, the company had more than 50 full-time employees. Our client switched to the ZOHO ONE after a bad experience with Jira.

Introduction

The client understood his business needs from the very beginning but needed high-quality advice and competent construction of his operations within ZOHO products.

The top priority areas were:

SaaS CRM that was highly customizable to meet their specific demands;
Project Tracking;
Own application for the control of human resources;

After a long, mutually beneficial process of setting up ZOHO products, we got to one of the most interesting parts of our cooperation: the synchronization of ZOHO CRM with Click Up. The Challenge

After the initial setup of ZOHO products, the client needed to work simultaneously in two applications: ZOHO CRM and Click Up. The main account for clients, transactions, and sales with purchases was kept in Zoho CRM, and in Click Up, to manage ongoing work projects and attract outside employees.

It was necessary to set up synchronization between these two applications in such a way that the user could create a deal in ZOHO CRM, move it up the sales pipeline, and, at a certain stage, transfer detailed information about this deal to Click Up.

In Click Up, other users, including freelancers of the company, had to continue working on the project for this deal and, upon completion of all tasks, return the finished product to ZOHO CRM, where internal users could already close the deal.

The main difficulty of this synchronization was that there was no native synchronization between ZOHO CRM and Click Up and we had to use auxiliary tools to configure and create this synchronization.

Implementation

It was decided to use Zapier and some functions on Deluge to create a working synchronization between ZOHO CRM and Click Up.

To begin with, a workspace was developed and configured in ZOHO CRM, from which the first transaction information was sent to Click Up. Then a workspace in Click Up was developed and configured, which was supposed to take detailed information about the project and transform it into a project.

Following that, connectors for Zoho CRM and Click Up were built in Zapier. On our recommendation and in agreement with the client, an extended subscription in Click Up was selected for the possibility of future business expansion. After completing all the preparatory stages, we proceeded to the implementation of ZOHO CRM and Click Up synchronization. This process took some time, during which the client had additional wishes for the project.

After finishing setting up synchronization between the two applications, the project moved into the testing phase, before which we additionally implemented the early wishes of the client. This process slightly extended the project timeline, but the client was satisfied.The testing was successful, the product was approved for production with ready-made training instructions for the staff, and the client hired us for long-term technical support.

Results

Thanks to our close cooperation with the client and his partners, we managed to set up a system that allows him to go through all the stages of interaction with the customer using two applications and an almost unlimited number of full-time and freelance employees.

Our client has the ability to monitor and influence any stage of the transaction, as well as transform it into a project of any complexity.

During the project, we actively interacted with Click Up representatives and partners of the client, with whom we actively exchanged experience.

The Challenge

Timeline widget: a graphic interactive widget that displays the record's status, with all statuses pictured on a line so the user can see how long the record was in each status and what status needs to be applied to the record during the process. Users can change the status just by clicking on its name.
With the saved history of these changes, change the vendor widget.

Integrations:

Zoho CRM - Zoho Books provide real-time, two-sided sync for Invoices and credit notes.
Google Maps is another custom widget that uses the Google API to calculate distance and time between two locations.
